Privacy Policy.
In plain terms: what we collect, why, and your rights. Version dated October 17, 2026.
This English version is provided for convenience. In case of any discrepancy, the French version prevails, in accordance with Québec's Charter of the French Language.
1. Person in charge of the protection of personal information
Alpha Oumar Diallo, owner, Alpha Solutions. For any question or request: Contact page or WhatsApp +1 819 880-0869.
2. Information we collect
- Live chat on the website: your name, your phone or email and the content of the conversation, kept to follow up on your request
- Contact details: name, telephone or WhatsApp number, email address, city
- Details of your request: items wanted, parcel contents, destination
- For vehicles: copies of the required documents (proof of purchase, registration, identification)
- For billing: history of quotes, payments and receipts
- If you create a client area: first name, last name, telephone number, email address (optional), country, type of client (individual or business) and, for a business, its name and business number if you provide it, language for messages, password (stored only in hashed form), and your consent choices with their date
- For account security: the technical information of your session and the number of failed sign in attempts
For a card payment, you enter your card on Clover's secure page: we receive only the payment confirmation (amount, date, status), never the card number. We collect only what is necessary. The website does not use any advertising or tracking tools.
3. Why we use it
- To respond to your requests, prepare quotes and fulfil orders: this information is necessary for the contract you enter into with us.
- To manage your client area: identify you and display your files, their tracking, your payments and your receipts. You consent to this when you sign up, through a separate checkbox, and the service cannot work without this information.
- To receive payments and issue receipts, and to meet our tax, accounting and customs obligations.
- To keep you informed of the status of your shipments by email or WhatsApp, depending on your contact details.
- To protect accounts against unauthorized access and fraud.
We never sell your information. We send you promotional messages only with your express consent, given through a separate checkbox that is never checked in advance, as required by Canada's law against spam (CASL). You may withdraw it at any time. Messages about your files (confirmation, receipt, tracking, account security) are not promotional messages.
4. Disclosure to third parties
Only when necessary for your shipment or for the service: shipping lines, freight forwarders and customs brokers, our agents in Conakry, Dakar and Bamako, customs authorities, and technical service providers: website hosting, WhatsApp messaging, Resend for sending emails (confirmations, receipts, security codes) and Clover for card payments. They may use the information only for that purpose.
5. Disclosure outside Québec
By their nature, our services involve disclosing certain information in Guinea, Senegal and Mali (consignees, agents, customs) and to service providers located outside Québec, including in the United States: WhatsApp for messages, Resend for emails and Clover for card payments. Before doing so, we assess whether the information will receive adequate protection, we govern the disclosure by contract where possible, and we limit what is transmitted to what is strictly necessary.
6. Retention
- Client area: your account is retained until you delete it.
- Accounting and tax records (accepted quotes, invoices, payments, receipts): retained for the period required by law, that is at least six years after the end of the tax year to which they relate, under the tax laws of Québec and Canada, even after the account is deleted.
- Export and customs documents: retained for the period required by customs rules.
- Other information: retained for as long as necessary for the intended purposes.
At the end of these periods, the information is destroyed or anonymized.
7. Security
- Communications with the website are encrypted (HTTPS).
- Passwords are never stored in plain text: we keep only a hashed version, which we cannot read back.
- An account is temporarily locked after 5 failed sign in attempts.
- For a forgotten password or to verify your email address, a single use 6 digit code may be sent to you by email.
- Each file and each parcel has a tracking number (AS-XXXX-XXXX) designed to be impossible to guess. Public tracking with this number alone shows only the steps (type of shipment, destination, expected dates), with no name or amount. Details, payments and receipts are visible only in your client area, once you are signed in.
- Access to the management software is protected by a password and restricted to authorized persons.
Keep your password to yourself. If you think someone else is using it, change it in your client area and contact us.
8. Cookies
When you sign in to your client area, the website sets a single cookie: a strictly necessary session cookie that the page's scripts cannot read (HttpOnly) and that keeps you signed in for up to 30 days. You can end it by signing out. Because it is essential to the service you request, it does not require a consent banner.
The website also stores two technical items in your browser that never leave your device: your choice of light or dark display, and the fact that the welcome animation has already played during the visit. The website does not use any advertising or audience measurement cookies. If measurement tools are added, they will be disabled by default and subject to your consent.
9. Your rights
- Access: your files, payments and receipts are visible in your client area; you may also ask us for a copy of all the information we hold about you.
- Correction: edit your profile in your client area; to change your telephone number or correct information in a file, contact us.
- Withdrawal of consent: at any time, for promotional messages or for the client area (by deleting your account).
- Portability: the “Download my data” button in your client area gives you your account, your files and your payments in a structured, commonly used file (JSON).
- Account deletion: from your client area. Your account and your online access are deleted; accounting records remain retained for the period required by law (section 6).
- Cessation of dissemination of your information, in the cases provided for by law.
We respond within 30 days. If you are not satisfied, you may contact the Commission d'accès à l'information du Québec (Québec's access to information commission).
10. Confidentiality incidents
In the event of an incident (unauthorized access, use or disclosure, or loss of information), we promptly take measures to reduce its consequences. If it presents a risk of serious injury, we notify the persons concerned and the Commission d'accès à l'information. We keep a register of all incidents, as required by law.
